Privacy policy
How PayCert handles personal information under the Protection of Personal Information Act (POPIA).
What we collect
- Your account details: name, email address and a securely hashed password.
- Business information you enter: company, client and project details, bills of quantities, claims, invoices, payments and banking details for your invoices.
- Documents you upload, such as compliance certificates and site photos.
- Records of actions in the app (an audit trail), including when a client opens, acknowledges or certifies a claim through the client link, and the name they enter.
Why we use it
Only to provide the service: preparing and sending your claims, reminding you about due dates and expiring documents, billing your subscription and supporting you. We do not sell personal information or use it for advertising.
Who can see it
People in your organisation according to their role, and clients you send a claim link to (they see that claim and its pack only). Our service providers process data on our behalf: hosting, email delivery and Paystack for subscription payments.
Where it is stored
On servers in Johannesburg, South Africa, encrypted in transit.
Your rights
You can access and correct your information in the app, export all your organisation's data from Settings, and ask us to delete your account. Contact paycert.build@gmail.com. You may also complain to the Information Regulator.
Retention
Business records are kept while your account is active and for the period required by tax law afterwards (five years for VAT records), unless you ask us to delete them sooner where the law allows.
